plan, or downloadable product

● When EAP providers or corporate clients provide your information for scheduling and billing
● When you voluntarily participate in surveys, feedback forms, or promotional activities
Information collected may include:
● Name, contact details, age, gender
● Health concerns, medical history, allergies/intolerances
● Lifestyle factors such as eating habits, exercise, or stress
● Billing and appointment details
If you choose not to provide certain information, we may not be able to deliver our services.
4. Work with corporate and EAP providers
We provide telehealth nutrition consultations, webinars, seminars, cooking demos, onsite workshops, and resources through Employee Assistance Program (EAP) providers to organisations across Australia, New Zealand, and Asia.
Information received:
EAP providers supply basic personal details (name, contact, employer, etc.) required for scheduling and billing.
We do not share health information with EAP providers or employers. All consultations are confidential in line with health professional obligations and privacy laws.
Exceptions:
If we believe someone is at risk of harming themselves or others, we may be legally and
ethically required to share limited information with appropriate services (e.g. your GP,
emergency services, or EAP coordinator) to ensure safety.
Reporting to EAP providers:
We may provide reports to EAP providers that include session attendance, cancellations, or
brief service-related outcomes with identifying information only as required for administrative
purposes. Health details are never disclosed.
5. Consent and communication with other health professionals
We will always obtain your informed consent before:
● Taking clinical notes
● Communicating with your GP, psychologist, or other healthcare providers on your behalf
● We will clearly explain confidentiality limits and obtain your agreement before proceeding with any liaison.
● You may withdraw consent at any time, except where required by law.
6. Use of information
We use your information to:

● Communicate with you (including bookings, reminders, feedback, and service updates)

We use Kajabi to deliver emails. You can unsubscribe at any time using the link in our emails or by contacting us.

9. Children’s privacy
Our services are designed for adults. Consultations with clients under 18 are only provided with a parent or legal guardian present.
We require consent from the accompanying adult before collecting or using any personal or health information about a child.
All of our Accredited Practising Dietitians hold a current Working With Children Check (WWCC) in the states or territories where they provide services. This ensures we meet all necessary safeguarding requirements when consulting with children and adolescents.
10. Retention of information
We retain personal and health information:
● For as long as necessary to deliver our services
● In line with professional record-keeping requirements (generally 7 years after last contact, or longer for clients under 18)
If you request deletion of your data, we’ll comply where possible unless legal or clinical obligations require retention. Secure destruction or de-identification is used when data is no longer needed.
11. Disclosure and sharing
We may share your information with:
● Approved third-party providers (e.g., our IT systems, payment platforms, booking tools)
● Healthcare professionals with your consent
● Authorities, where legally required or necessary to prevent serious harm
We do not sell or rent your information.
Overseas transfers:
If any service providers are located outside Australia, we take reasonable steps to ensure yourdata is protected. Some jurisdictions may not have privacy protections equivalent to Australian law. By using our services, you consent to these transfers.
